ROLE PURPOSE

The aim is to state the overall significance of the job from the organization’s perspective.

Responsible for assisting the Senior Project Manager or higher on planning, implementation, and tracking of a long-term project. Project Coordinator focuses on Daily Project Tasks and follow up on them as well as providing their status to his supervisor in the Project. The Project Coordinator will work heavily with EPM to ensure that all processes and artefacts are followed and documented in the correct manner according to the policies and procedures followed within ELM.

Key Accountabilities Key Activities
1. Daily Operations
  • Follow the day-to-day operations related to own job to ensure continuity of work
  • Contribute to the identification of opportunities for continuous improvement of processes and practices taking into account ‘international best practice’, improvement of business processes, cost reduction and productivity improvement
  • Assist in the preparation of timely and accurate reports of Project Management & BA department / section to meet company and department requirements, policies and standards
2. Project Planning
  • Follow the Scope defined
  • Assist in the Project Management Plan in accordance to Elm Practices
  • Work towards Project Objectives
  • Assist in Completing the assigned work from Manager within the Project
3. Project Budgeting and Staffing
  • Working with supervisor to assigned resources on EPM
  • Follow up with functional units on task completion
4. Project Controlling
  • Communicating with Stakeholders Internally with Project Updates and Weekly Progress Reports
  • Assist in updating Project Progress on EPM properly
  • Ensuring that all Project Artefacts are uploaded in EPM properly

 
  • Assist in Document Project Issues and provide Mitigation
  • Assist in Identifying Project Risks and provide Mitigation
  • Informing Financial Control Officer when Deliverables are closed for billing purposes
5. Project Closing
  • Ensure that all PMO checklist is met and closed
  • Assist in documenting all Lesson Learned and place it in EPM
6. Policies, Processes & Procedures
  • Follow all relevant departmental policies, processes, standard operating procedures and instructions so that work is carried out in a controlled and consistent manner
  • Comply with all relevant safety, quality and environmental management policies, procedures and controls to ensure a healthy and safe work environment
7. Information Security
  • Comply with all relevant information Security practices and standards to ensure data integrity and confidentiality

Functional Team (BA,SA, DEV, QA and SM)

  • Follow up Task progress assigned on team members by Project Manager
  • Arrange meetings and generate reports based on team inputs
  • Escalate team performance issues to appropriate departments.
 

Senior Program Manager

  • Report to Project progress
  • Receive tasks pertaining the assigned project
  • Guidance and shadowing on how to Program is implemented.
Lead Project Manager
  • Report work performance
Product Manager
  • Update the Product Manage on Project cost and time performance.
  • Seek Product Manager Support for business decision regarding the project.
  • Prioritize the business needs of the project.
  • Coordinate with the Product Manager to define the Project Budget and budget allocation.
  • Follow up with Product Manager to approve the various project forms and acceptances.
Operations
  • Assure Operations’ handover needs are met during product deployments.
  • Continuously communicate with Service Manager to assure full understanding on project’s objectives and deliverables.
  • Coordinate and Fill necessary forms and processes to deploy the system enhanced during the project to be deployed in operations infrastructures.
Marketing
  • Follow up to define branding and pricing for the developed product when applicable.

 
  • Arrange with Marketing & Sales to arrange marketing campaigns.
Business Development
  • Keep informed on upcoming new projects and business cases
Account Management
  • Coordinate with Account Manager to communicate with external clients.
  • Get Approved contracts negotiate with Account Manager regarding validity of the contracts.
  • Take necessary actions to define and arrange with Elm Qualified Companies and prepare them to train, educate Elm customers and sell the enhanced product.
PMO
  • Coordinate with PMO Officer to make sure projects are compliant with company’s policies.

Customer

  • Send periodic reports to the customers and assure information consistency.
  • Get approvals on various forms and acceptance letters.
  • Follow up with the customer on production deployment progress and support deployments
Vendors
  • Follow up with vendor execution of the project deliverables.
  • Assure deliverables are done according to agreed quality and scope.
NIC
  • Use proper channel to communicate with NIC in case there is a need for it

JOB SPECIFICATIONS
Academic and professional qualifications
  • Bachelor’s degree in Business Administration,
Years and Nature of Experience
  • 4 – 6 years of relevant experience in a related industry
